Who this notice covers

This notice explains the handling of information associated with the Harrowell website and initial business enquiries. It applies to journal owners, publishers, societies, institutions, editorial teams, prospective partners and individuals contacting us about publishing support.

Harrowell is the business name used on this website. Privacy questions should be addressed to info@harrowellsolutions.com. A separate engagement agreement may set out additional responsibilities where Harrowell handles journal records, contributor information or client systems as part of an agreed service.

Information you may provide

An enquiry may include your name, role, email address, telephone number, organisation or journal name, website, current platform, timing, requested services and a description of the publishing requirement. We use the context you choose to provide to understand whether a further discussion is appropriate.

Please provide only information relevant to the enquiry. If you are contacting us on behalf of another person or organisation, make sure you have authority to share their details. General journal context and a short description of the requirement are normally sufficient for the first discussion.

How the current website enquiry works

The current three-stage intake prepares an email addressed to info@harrowellsolutions.com in your email application. Completing the intake does not by itself deliver the message. Harrowell receives your enquiry when you send that email.

Selecting a supporting file does not upload its contents or attach it to the prepared email. Its filename may be included in the brief. A suitable route for any documents can be discussed separately. Information entered into the intake is not saved by the website to a client account or an enquiry database.

Why enquiry information is used

Information received by Harrowell is used to understand and respond to the requirement, clarify scope, arrange discussions and prepare an appropriate proposal. If an enquiry progresses into an engagement, relevant correspondence may form part of the project record.

Sending an enquiry does not automatically subscribe you to marketing. We do not use the intake to sell personal information or publish your journal opportunity. If a new use of your information is proposed, it should be explained before the information is used for that purpose.

Sensitive documents and journal records

Initial enquiries should not contain passwords, access tokens, unpublished manuscripts, research participant information, payment details or complete journal-system exports. These materials require a separate discussion about purpose, permissions and transfer arrangements.

For a migration, transition or editorial-service project, the scope should identify which records are needed, who is authorised to access them and what happens to working copies after completion. A journal owner should not assume that an initial website enquiry creates a data-processing agreement or a non-disclosure agreement.

Access and service providers

Information is used by the people involved in reviewing or responding to the relevant enquiry. Email and website hosting providers may process technical or communications data when providing their services. Any specialist involved in a subsequent engagement should receive only the information needed for the agreed work.

An enquiry about a journal opportunity is not permission to circulate identifiable details to potential partners. Where an introduction or specialist review is proposed, the information to be shared and the recipients should be agreed with the authorised contact first.

How retention is considered

Enquiry records should be kept for the period needed to manage the discussion, any resulting service, relevant administrative records and applicable obligations. The circumstances include whether the enquiry remains active, whether an agreement was entered into and whether information is needed to resolve an outstanding issue.

There is no single published retention period covering every enquiry and engagement. You may contact Harrowell to ask about a particular record or request deletion. Where information must be retained, we will explain the relevant reason rather than promise deletion in every circumstance.

Cookies and website services

The current website does not include analytics scripts, advertising pixels, a marketing cookie banner or embedded social-media feeds. The enquiry fields do not use browser storage to save a draft between visits. Website and email providers may still maintain technical records needed to operate their services.

If analytics, tracking, a hosted submission service or additional embedded content is introduced, this notice should be updated to explain the change. Where permissions are required for an added service, those permissions should be obtained before that service is enabled.

Questions, corrections and requests

You may contact us to correct information, ask what enquiry information is held, request deletion or raise a concern about how your information is used. Available rights and exceptions depend on the applicable law and the circumstances of the record.

Send your request to info@harrowellsolutions.com with enough information to identify the relevant correspondence. We may need to verify that the request comes from an authorised person before sharing records or making changes. Please do not send identity documents unless an appropriate verification route has been agreed.

Updates to this notice

This notice should be reviewed when the enquiry process, service providers or information-handling arrangements change. The update date on this page identifies the current version.

For project-specific questions, ask for the relevant contractual or operational arrangements before transferring sensitive materials. This website notice describes the initial contact process; it does not replace the information-handling terms of a signed engagement.
